1. What information we collect
We collect two distinct categories of information across our website and platforms:

Customer information — the details an account holder or client provides to us: business name, contact name, email address, billing details, domains, configuration preferences, and account activity logs.

Service & Lead information — data processed on behalf of our customers through our services (such as form processing and spam filtering tools). This typically includes the submitter’s name, email address, phone number, message body, and any other data fields collected by our customer’s integrations, alongside associated technical metadata (sender IP, SPF/DKIM results, headers).
2. How we use it
Customer information is used to manage your relationship with us: authenticating you, running our various services, generating invoices, and contacting you about platform updates. Service and lead information is processed specifically to fulfill the service function you have configured (such as classifying genuine vs. spam submissions, or routing data to your specified destinations). Data is also stored securely within your respective dashboard so you can review and export it.
3. What we never do with your data

We do not share customer information with any third party. Your business details, contact details, billing details, and account configuration stay with Intellecta and are used solely to deliver our services to you.

The contents of data submissions we receive on your behalf are processed exclusively for you, forwarded to your nominated destinations, and stored securely in your account. They are not sold, rented, syndicated, or otherwise disclosed to third parties.
4. Use of rejected and spam data
Submissions that are classified as spam, or data you manually flag as spam from your dashboard, may be used in an aggregated and completely de-identified form to train, tune, and improve our classification engines and shared spam-detection models. Genuine service data and verified leads are never used for this purpose.
Where a spam sample happens to contain personal information, we treat that information with strict confidentiality: it is held within your account under the same rigid access controls and is never disclosed to external third parties.
5. Service providers we rely on
To run our infrastructure, we rely on a small number of upstream service providers (for example, a secure payment processor to handle subscription billing, and specialized AI inference providers used by our classification engines). These providers act strictly as data processors on our behalf under their own contractual confidentiality and security obligations. They are not permitted to use customer or lead information for their own independent purposes.
6. Data Retention
Service data, form submissions (including spam), and associated raw metadata are retained for up to 24 months, after which they are systematically purged. You may delete your account at any time, in which case your customer information and any data held in your account will be removed in accordance with our standard deletion processes.
7. Security
We take the security of your business and service information seriously. Access to data is heavily restricted internally, traffic is encrypted in transit (TLS), infrastructure is regularly hardened and patched, and administrative access is strictly logged. See the Disclaimer section below for the inherent limitations that apply to internet-connected systems.
8. Your rights
You may access, correct, or request the deletion of any personal information we hold about you. End-users or submitters whose information appears within data handled on behalf of a business client should contact that specific business (the data controller) in the first instance. We will actively assist our business clients in responding to such privacy requests.
9. Cookies
We use strictly necessary cookies to keep you signed into our platforms and to protect our web applications against cross-site request forgery (CSRF). We do not use intrusive advertising or cross-site tracking cookies.
10. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our services or legal obligations. The “Last updated” date at the top of this page reflects the most recent revision. Material changes will be communicated directly to active customers via email.

11. Service provided “as is”
Our website and services are provided on an “as is” and “as available” basis. While we work hard to keep our platforms accurate, reliable, and continuously available, we make no warranty — express or implied — that our services will be completely uninterrupted, error-free, or that every automated classification or data sort will be correct.
12. Classification and Processing Accuracy
Where automated classification or analysis is performed (including via AI models), you acknowledge that these systems are highly accurate but not infallible. You are responsible for reviewing your account dashboard and adjusting any data or submissions that our systems may have handled incorrectly. Intellecta is not liable for any business loss, missed opportunities, or operational issues arising from incorrect automated handling or filtering.
13. Data Forwarding and Deliverability
The routing and forwarding of data (including email alerts and webhook notifications) heavily depend on third-party digital infrastructure, including recipient mail servers, DNS routing, and upstream relays. We cannot guarantee delivery to any specific external inbox or server endpoint. You should always treat your Intellecta service dashboard as the authoritative record of received data.
14. Security — no warranty against high-level attacks
Security is a top priority across every aspect of how Intellecta is built and operated. However, no internet-facing system can be made absolutely impenetrable. Intellecta gives no warranty against, and accepts no liability for, data exposure resulting from sophisticated, high-level, or otherwise unforeseeable attacks on our infrastructure or on the infrastructure of our key service providers, despite the full commercial care we take to keep the service secure. By utilizing our website and services, you acknowledge and accept this residual risk.
15. Limitation of liability
To the maximum extent permitted by law, Intellecta’s total liability to you in connection with our website and services is strictly limited to the fees you have paid us for the service in the three (3) months preceding the event giving rise to the claim. We are not liable for indirect, incidental, consequential, special, or punitive damages, or for any loss of profit, revenue, goodwill, or data. Nothing in this Disclaimer excludes, restricts, or modifies any right or remedy that cannot be lawfully excluded under the Australian Consumer Law.
16. Customer responsibilities
As a user or client of Intellecta, you are entirely responsible for: keeping your account credentials secure, ensuring that any forms, websites, or integrations you connect to our services collect personal information lawfully and with appropriate legal notice to end-users, and complying with all regional laws applicable to your use of the data we handle for you (including privacy, anti-spam, and electronic marketing regulations).
17. Governing law
This Privacy Policy and Disclaimer is governed by the laws of the State of Victoria, Australia. All parties submit to the non-exclusive jurisdiction of the courts of Victoria.
